This Privacy Policy explains how An Cùil (“we”, “us”, “our”) collects, uses, and protects your personal information when you visit ancuil.co.uk (“the Site”) or make an enquiry or booking with us. We handle your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
An Cùil is a self-catering holiday cottage at Crown, Inverness, licensed by Highland Council under Short-Term Let Licence No. HI-51992-F. The data controller for the Site and for bookings is Daniel Jenkins. You can contact us at booking@ancuil.co.uk.
2. What information we collect
- Through our enquiry/booking form: your name, email address, phone number (if provided), intended check-in and check-out dates, number of guests, and any message you send us.
- If your booking is confirmed: your postal address, payment details (processed securely — we do not store full card numbers), and, where required by our Short-Term Let licence conditions or for fire-safety and emergency purposes, the names of everyone staying at the Property.
3. How we use your information
- To respond to your enquiry and process and manage your booking, including payment and any damage deposit.
- To communicate with you before, during, and after your stay.
- To meet our legal obligations, including guest record-keeping required under our Short-Term Let licence and, where applicable, for tax purposes.
- To deal with any complaints, insurance claims, or incidents.
4. Our legal basis for processing
- Contract — to take steps at your request before a booking, and to perform that booking once confirmed.
- Legal obligation — to comply with our duties as a licensed short-term let, including guest record-keeping.
- Legitimate interests — to respond to enquiries, and to keep records for insurance and safety purposes.
5. Cookies
Details of the cookies used on this Site are set out in our separate Cookie Policy at ancuil.co.uk/cookie-policy/.
6. Who we share your data with
We do not sell your personal data. We may share it with our accountant or bookkeeper for financial record-keeping; our insurer, in the event of a claim; Highland Council or other authorities, where we are legally required to provide guest records; and any payment provider used to process your payment. We do not otherwise share your information with third parties.
7. How long we keep your data
We keep booking and guest information for as long as needed to fulfil your booking and meet our legal, tax, licensing, and insurance record-keeping obligations — generally up to 6 years after your stay, in line with standard UK record-keeping practice. Enquiries that do not lead to a booking are kept for a shorter period and then deleted.
8. Your rights
Under UK GDPR, you have the right to ask for a copy of the personal data we hold about you, ask us to correct inaccurate data, ask us to delete your data (where we are not required to keep it for legal reasons), object to or restrict certain processing, and ask for your data in a portable format. To exercise any of these rights, contact us at booking@ancuil.co.uk. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk if you are unhappy with how we handle your data.
9. Keeping your information secure
We take reasonable technical and organisational steps to protect your personal information, including using a securely hosted website and limiting access to booking information to those who need it.
10. Children
Our Site and booking process are not directed at children, and we do not knowingly collect personal data from children.
11. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes to our practices or for legal reasons. This policy was last updated on 21 September 2026.
